Founder’s Chief of Staff (Li ... te) / Executive Operations Partner Role Overview This role sits between an Executive Assistant and a Chief of Staff. You will act as the Founder’s operational partner, helping manage information, priorities, research, coordination, and execution across multiple moving parts of the organization. Core Responsibilities Founder Office Management • Manage the Founder’s calendar, priorities, and decision flow • Prepare meeting briefs, background notes, and action trackers • Ensure and execute key initiatives discussed actually move forward • AI – Automation at various levels to improve operational efficiency and execution AI-Assisted Research & Execution • Use AI tools (ChatGPT, Perplexity, etc.) for rapid research, summaries, and drafting • Prepare structured briefs on topics such as partnerships, vendors, healthcare events, or expansion opportunities • Convert raw ideas into actionable documents or plans Project & Initiative Coordination • Track progress across clinics and internal teams • Assist with execution of new initiatives, partnerships, and business projects • Coordinate logistics for events, seminars, medical camps, and outreach programs Travel & Logistics • Manage complex domestic and international travel planning • Handle visas, itineraries, logistics, and real-time coordination during travel • Ensure efficient scheduling across multiple clinic visits Communication & Documentation • Draft emails, presentations, reports, and official communication • Maintain confidential documentation and records • Ensure clarity in communication between leadership and teams Founder Representation • Attend meetings or operational interactions on behalf of the Founder when appropriate • Capture key information, insights, and follow-up actions Candidate Profile We Are Looking For Someone Who • Is extremely organized and reliable • Thinks proactively rather than waiting for instructions • Is comfortable using modern AI and productivity tools • Communicates clearly and professionally • Enjoys solving operational problems • Can handle confidential matters with discretion Qualifications • Bachelor’s Degree required (MBA preferred) • 5–8 years’ experience supporting senior leadership • Experience as Executive Assistant, Business Operations Coordinator, or Founder’s Office role • Strong written communication and documentation skills Tools & Skills (Preferred) • ChatGPT / Perplexity / AI research tools • Google Workspace / Microsoft Office • Travel management platforms • Project tracking tools (Notion / Asana / Trello) Growth Potential This Role Can Evolve Into • Chief of Staff • Business Operations Manager • Founder’s Office Lead Who Should Apply This role is ideal for someone who wants to work closely with a founder, learn how a business operates from the inside, and build strong execution skills.
