Operations Lead / Chief of Staff (Lite)

About the Role We are looking for an Operations Lead / Chief of Staff (Lite) to manage and streamline the day-to-day operations of the studio. This role ensures that projects, people, and processes run smoothly, consistently, and without excessive founder involvement. Key Responsibilities Studio & Project Operations • Oversee day-to-day studio operations across multiple architectural and interior projects • Track project timelines, deliverables, and dependencies • Coordinate between in-house team, freelancers, consultants, and site teams • Ensure projects move forward as planned and flag risks or delays early Founder Support (Chief of Staff – Lite) • Work closely with the Founder to translate decisions into clear action plans • Follow up on tasks, approvals, and commitments across the studio • Reduce founder dependency by owning execution and coordination Process & Systems Management • Set up and manage project tracking systems (Notion / Excel / dashboards) • Standardize workflows for: • Project kick-off • Design reviews • Client meetings & MOMs • Documentation and handover • Ensure consistency and clarity across all projects Team & Resource Coordination • Coordinate workloads and timelines across the team • Support onboarding of new hires and freelancers • Ensure role clarity, accountability, and smooth collaboration Client & External Coordination • Support client communication related to schedules, meetings, and deliverables • Prepare meeting agendas, minutes of meetings (MOMs), and follow-ups • Coordinate with contractors, vendors, and consultants for information flow Required Skills & Experience Experience • 3-4 years of experience in studio operations, project coordination, program management, or consulting • Prior experience in architecture, interiors, real estate, or creative studios preferred Technical & Process Skills • Strong organizational and task-management skills • Proficient in Excel / Google Sheets • Comfortable using Notion or project management tools • Ability to manage multiple projects simultaneously Soft Skills • Strong communication and follow-up skills • Calm, reliable, and solution-oriented • Ability to work independently and take ownership • Comfortable working in a fast-paced, growing studio environment What We Offer • Direct exposure to studio leadership and decision-making • Opportunity to build systems and structure from the ground up • Key role in scaling a design-led, sustainability-focused studio • Growth into Studio Operations Head / Program Manager / Chief of Staff How to Apply Please share: • CV and resume at careers@shestudios.org
